Check out hands an asset to a person. Check in takes it back.
Devices and accessories can be checked out. Consumables and digital assets cannot. Licenses use the same buttons to allocate and release a seat, which works differently. See Licenses and seats.
The check out modal asks for:
Assign to - the person receiving it. Required.
Expected return date - optional. Past dates cannot be chosen.
Not picked up yet - a checkbox.
Notes - optional.
Leave Not picked up yet unchecked and the device goes straight to Checked out.
Tick it and the device becomes Assigned instead: reserved for that person, but not yet in their hands. The detail page will show "Assigned to … (awaiting pickup)". When they collect it, use Confirm pickup to move it to Checked out.
This is worth using whenever there is a gap between deciding who gets a machine and physically handing it over.
Checking out a device that is already checked out is rejected: "Device is already checked out. Pass reassign: true to reassign it."
Use the reassign option to move it directly to a new person without checking it in first.
In a bulk check out where your selection mixes assigned and unassigned devices, AssetBolt asks whether to reassign everything to one person or to hand out only the unassigned ones.
The check in modal asks for the condition it came back in:
Good, Fair, or Poor - returns the device to the available pool (status Available).
Broken - takes it out of service (status Broken).
Check in clears the assignee, the assignment date, and the expected return date, and records the return timestamp.
Accessories are quantity tracked. You assign a chosen number of units to a person or a team.
Check out asks for:
Assign to - person or team. One is required.
Quantity - required.
Notes - optional.
Rules
You cannot check out more units than are in stock.
Multiple open assignments are allowed across people and teams.
Check in returns units from an existing assignment and restores them to stock.
